Instructions for FTP Uploading
G29,
Spring 2009, University of Hawaii
Dr. Leon James,
Instructor
1) Uploading means sending the copy of a file from your computer or disk to the "server" computer that publishes it instantly to the whole World Wide Web. To upload a file you need the address of the "server" computer, which is called "Host Address", as well as a "Login ID" and password.
Once you are logged into the common class folder, you must create a new folder for yourself, with your last name as the file name (or approved nickname) -- in lower case letters, no spaces. You create a new folder using your "FTP Application" or software (see below). Look for the Menu Items to see what is the command for creating a new folder or "directory." After creating the folder, its name will show up on the screen, along with the other students' folders. Do not tamper in any way with the other students' folders! This is prohibited by university regulations and the law.
Double click your own folder that shows your last name. It should show empty at this point since you have not uploaded any files yet. This is where you upload all your files in the course. It has a Web address which you can use to view all your files by pointing your Web browser to that folder address (see below). This is also where the Web search engine bots crawl around and make copies of your files. Your document and Web pages will show up in the Web search engines within two or three weeks after you upload anything.
You upload all your files only into this folder with your name on it.
You can delete or replace or rename any file you uploaded. You can upload as often as you want in order to make as many changes as you want to your files. Once you upload a file, your document is published and anyone in the world can read it on the Web.
After you upload a file, you need to look at it with your Web browser to make sure it looks the way you want it.
If not, do the changes you want to the file on your computer, and upload it again. The new copy will automatically replace the old copy. If you embed separate picture files (or other attached files), you need to upload all of them in addition to your document file. Just check with your browser after uploading to see if everything shows just right.
2) In order to upload your files there are the three pieces of information you must have:
information you must have 409a class
Monday409b class
Tuesday459 class
ThursdayHost address: www.soc.hawaii.edu Login ID: 409as2009 409bs2009 459s2009 Password: (the password will be given out in each class by the instructor )
3) You should know the Web address of your class folder in which your own folder is located (bookmark it):
409a
(Monday)
www.soc.hawaii.edu/leon/409as2009
409b (Tuesday)
www.soc.hawaii.edu/leon/409bs2009
459 (Thursday)
www.soc.hawaii.edu/leon/459s2009
For example, if you are in the Monday class and your last name is Kennedy, then the address of your own folder will be:
www.soc.hawaii.edu/leon/409as2009/kennedy
And your home page file called kennedy-home.htm will have this Web address:
www.soc.hawaii.edu/leon/409as2009/kennedy/kennedy-home.htm
And the address of your first report will be:
www.soc.hawaii.edu/eon/409as2009/kennedy/kennedy-report1.htm
Important: Do not use upper case letters, or spaces, in any file name or Web address. Copy all the file names just as instructed in the examples. Points will be deducted for not complying to this rule.
4) Required Step before uploading any of your files:
You must do the following before anyone can see with a Web browser the
directory of the files in
your folder:
You need to upload two specific directory type files to your own folder in order to enable this feature. Otherwise you get a 404 Not Found error Message in your browser when you try to see your folder directory containing your files. So in order to prevent that, you must first upload the two required directory files into your folder. Look for these two files in the overall class folder, where you first log in and before you click on your own folder. The two files are called:
_message
_WSDirIndex.css
When you spot them, select one of the files, or the two together if they are next to each other, and give the command for downloading a copy to your own computer desktop or any other folder. This will result in placing a copy of the two files to your computer. Now select the two files on your computer, and drag them to your Web folder which is still visible in your FTP Application window. Instead of dragging you might have to click on an arrow pointing to your computer, or you can use the copy then Paste commands. This all depends on your FTP Application, but it is usually easy to figure it out. Just don't panic! You will figure it out with some patience and perseverance. After giving the uploading command (or dragging, etc.), the two files will show up in the FTP window showing your Web uploading folder.
Now switch to your Web browser and go to the folder address. Now you can see the folder and the two files you just uploaded. If not repeat the operation until you figure it out.
Now you are ready to upload any files to your folder. They will show up in the directory of files in your Web browser.
5) You should know this: Your document may contain special fonts or images, as most Web pages do. When you save your file as a Web page, your word processor saves all the images in a new folder and it names that folder the same name as the file, so you can recognize it. and upload it as well with your main document file.
For example, if your file name is kennedy-report1.htm and you save it in your word processor "as a Web page" rather than the normal default of a .doc file (e.g., kennedy-report1.doc). See options in your Save As dialog box). Your word processor will create a new folder on your computer called kennedy-report1.htm _Files which will contain the image and special font files, if you have any. When you upload the file you created (e.g., kennedy-report1.htm), you must also upload the folder created by the word processor on your computer (e.g., kennedy-report1.htm _Files). After uploading both into your own Web uploading folder, you should be able to see your file and its sub-folder. If not, try again.
Now when you look at your document on the Web with your Web browser, all the original images should show normally just as they show in your word processor. When the Web browser shows your file, it also looks for the images in that sub-folder by the same name, and places them in the document where they are supposed be. If that folder is not uploaded, the file will show an empty box where the image is supposed to be.
6) Once you upload a file be sure to always check it with your Web browser. This is why you need your folder address on the Web saved as a favorite or bookmark. Make this checking into a required routine as part of the uploading process. With your Web browser, go to the address of your own folder as indicated above and click on your file. Look at it. If you notice anything you want to change, go back to your word processor and edit the file. Give the Save command again. Do not forget to save it after each change or the changes will not show up in the uploaded file. Now upload it again. It will automatically replace the older version. Now go to your address again with your Web browser and check the document -- be sure to press the Refresh button on your Web browser or else the changes might not show up.
Repeat this process as often as needed.
7) Now create your Home Page in your word processor file and name it lastname-home.htm (e.g., kennedy-home.htm). Do not use other file names. Do not use upper case letters. Do not use spaces in the file names. The minimum on your home page must be
This information must appear on the first screen.
You can then add other items on your Home page. This is optional. Make the Home Page easy, attractive, and clearly visible. You are not allowed to use black backgrounds as this makes it harder to read the text. In terms of importance, text visibility is much more important than visual effects.
If these links do not appear on your Home Page or if they do not work, points will be deducted from your reports.
The Home Page is due at the same time as you upload your first Report. Penalty points for the Home Page being late or incomplete = 3 points per week.
8) Warnings:
Do not
delete or alter other people's files and folders!
Do not give out the class
password to anyone!
Always keep 2 copies of all your
files in different places for safety (e.g., your hard drive and a CD or flash drive).
FTP stands for File Transfer Protocol. It is software you install on your computer so you can upload and download files online. There are a number of options of free FTP applications. You can try out more than one until you're comfortable using it. You click on the links below then look for the Application and the Download button. Once it is downloaded on your computer, click on the Run button. Once installed you can explore the menus and Help to see how it works. You can also google questions you have to see if there are online helpful answers and hints. Be sure to specify the name of the FTP Application.
Important Note: Whatever FTP application you are using it will have a setting for FTP (usually the default but not always) and an SFTP setting. Select the FTP setting (the other one will not work with our class folder).
====================================================
(1) I tried this one in April 2009. I found it easy to use, and it's free: Ipswitch WS_FTP
Download it here:
When you first use it the Default setting is FTP (not SFTP or others). Leave it at this setting.
(2) Some students recommended this one: FTP Navigator: www.vista.ru/2inter.htm
(3) For the Mac operating systems, use the latest version of Fetch
http://www.fetchsoftworks.com/downloads.html
(4) There are also many commercial FTP applications that cost around $40. Just go to google.com and type in FTP software. I use one called SecureFX which allows for regular FTP as well as Secure SSH: vandyke.com/download/securefx/index.html
(5) Here is a site that offers free downloads for FTP
applications for Windows operating systems:
www.internet-soft.com/download.htm
(a) Download the program called
FTP Commander and run it. It will install itself.
(b) Start the program. Under the Connection Menu Select Connect to
Server
(c) Fill in the dialog box:
===============================================================
Name: soc or any name will do so you can recognize it
FTP Server: http://www.soc.hawaii.edu/ (note http:// not ftp://)
User ID: 409as2009 or 409bs2009 or 459s2009 depending on your class
Password: (use the password given out in your class)
Click Save (next time you login you will not need to type in the info again)
After you are logged in:
It should show the folders of the other students, unless you happen to be the first in class to create a folder. Click on MkDir (make directory) or other command to make or create a New Folder. It will let you name the folder. Use only your last name for the folder's name (all lower case letters, no spaces). As soon as you click the arrow or drag the file, you will see your new folder on the right hand window. This means you have successfully created a folder of your own on the Web. Anyone can now see whatever files you upload into this folder. Double click your folder and you'll see what's in it. At first nothing, of course, until you upload files into this folder.
The first two files you must upload are the system files, as explained above.

_WSDirIndex.css
Make sure you are in your own folder before you upload any files. All sorts of bad things happen when you upload files into some other student's folder. Note also you can select any file, and click either Delete or Rename. Be sure you never delete another student's folder or file!! You can do anything in your own folder, but stay out of the folder of others to avoid any mistakes or accidents.
Look at the left window. Find a file on your hard drive or diskette. Check to see you're still in your own folder. Your name should be showing on the top filed in the right window. Select the file on your computer and drag it into the right window (or click the arrow in the center of the screen). You will now see your file in the right window. This file can now be seen on the Web. Check it out with your browser (see above for instructions on this).
In order to use this application remember that you're dragging files from your computer to the server computer (uploading), or vice versa (downloading). You can either drag, or use select the file and click the arrow, showing uploading from a local folder to the online folder. Also, remember that to do something you want to select a file then look around the screen to find the command you need -- e.g., Delete, Rename, connect, disconnect, etc. After you save your login address information, it should appear on the right window when you start the application. You select the name (soc or whatever name you gave it) and click on connect.
